Meeting Minutes 6-13-12

Ivanhoe Community Club (ICC) Officers present: Kelsey Bednarek-President, Kris Richmond- Treasurer, and Jaime McKenzie- Secretary.   Absent: Loretta Lundberg- Vice President.
Community members present: Alvin Guza, Jim McKenzie, Scott Veire & Sherry Rost.

President Kelsey Bednarek called the meeting to order at 6:29pm in the Divine Providence Nursing Home’s Community Room.

· KR/JRM to approve 5.9.12 meeting minutes.

· Treasurers Report / Bill Approval
JLM/KB approved report and bills as presented. Motion carried with all voting in favor.

· Agenda Additions, Raffle Tickets.

· Open Forum, none.

· Sub-Committee Updates/ Approvals

o Activities Committee- Summer Kick-off event went well, nothing additional before Polish Days.
o Apparel Committee- Shirts came in and are selling very well.
o Grants/Funds Disbursement Committee- None.
o Website Committee- RL & AA are looking into this making sure DSI is not charging for what they’re not doing. Will discuss possible compensation to RL for her work on the site, will discuss further with someone on the subcommittee when they are in attendance.
o Welcome Committee- Want to get a reusable grocery bag but it’s going to cost. KR asking for funds for project. Corporate sponsors not panning out. Would like to put My Town logo and website on the bag. Estimated costs: $3000-$5000 for the entire project which would include bags, copies, postage- all expenses. This would also include helping businesses print if they don’t have the capability. Discussion of possible volunteers to stuff and deliver bags.
KB/JRM approved funding the project up to $5000.
Motion carried with all voting in favor.

· New Ivanhoe Sign- JRM presented to City Council as discussed at previous meeting. A motion was made and passed for the ICC to handle replacing the old Welcome to Ivanhoe City Signs at the ends of town. However when JRM went to get the minutes, it had not been documented in the minutes. The meeting was recorded so the minutes will be adjusted and a copy will be obtained then. Further discussion that the sign on the East side of town needs to be moved as that land was sold and the new property owners do not want the sign on their land. A new place for the sign will be looked into. City has $3,200 for a sign set aside. Topic tabled until approved meeting minutes are obtained.

· Polish Days- Advertising dollars: Iv Times $250 for 2-3 weeks of ads with Times donating $150 of advertising. Country Spirit $85, ad in week before and will make an entire Ivanhoe page out of it. The goal is to have the Polish Days poster printed by the 4th of July. The poster is free compliments of Lake Beverage in addition to free radio advertising. It was discussed that clean up could possibly be handled through community service. The Anything of Interest Show will be on main street instead of at the park but a road block needs to be requested for this. There has been great interest expressed in having an additional beverage offered at the ball diamonds other than beer, this is being looked into. The parade has a theme every year and this year will be “Take me out to the ballgame.” This can be added to the posters and website. Questions on this directed to Rita or Sherry.

· Raffle Tickets- KR was talking with NV regarding a money raffle. VFW is backing to sell tickets with their license. We can partner with someone else like the Fire Department, Ambulance, etc. to sell tickets with the drawing to be held either December 31st or January 1st. NV is working on tickets. KR will continue to move forward and will keep apprised of the situation.

· Other Business- AG questioned if there was any talk of participating in the garage sale from Canada to Texas along Hwy 75. It was stated that we use to have a Flea Market at Dino’s however since that is vacant, it is unclear if that is a possibility. This could be researched further with the realtor.

· JRM/AG adjourned meeting at 7:30pm.
